Privacy Notice

This Privacy Notice explains how HQIC training platform ("HQIC", "we", "us"), an education company based in Madinah, Kingdom of Saudi Arabia, collects and processes personal data when you use the HQIC learning platform (the "Service"). 1. Data we collect

Account data — name, email address, password hash, profile details.
Learning data — course enrolments, lesson progress, quiz results, certificates, forum posts, reviews.
Support data — messages you send to support and their attachments.
Usage & device data — pages viewed, features used, IP address, browser and device identifiers, logs.
AI assistant data — the prompts you send and the responses returned.
Payment data — collected by our reseller Paddle; we receive limited order metadata (order ID, product, amount, country) but not full card details.

2. Why we use your data (purposes and legal bases)

Provide the Service, deliver purchased courses, issue certificates — performance of a contract.
Account security, fraud and abuse prevention, service integrity — legitimate interests.
Customer support and communications about your account — contract / legitimate interests.
Product analytics and improvement — legitimate interests.
Marketing emails where permitted — consent, which you can withdraw at any time.
Legal, tax, and accounting obligations — legal obligation.

3. Sharing with third parties

We share personal data only with:

Paddle.com — our Merchant of Record, which processes payments, manages subscriptions, calculates and remits sales taxes, and issues invoices. See Paddle's Privacy Policy.
Hosting and infrastructure providers — for platform hosting, database, storage, and content delivery.
Video providers — Bunny Stream for recorded lessons and Zoom for live sessions.
AI providers — to generate assistant responses from your prompts.
Email and analytics providers — to send transactional messages and understand aggregate usage.
Professional advisers and authorities — where required by law or to enforce our Terms.

4. International transfers

Some of our providers are located outside your country. Where personal data is transferred out of the UK or EEA we rely on adequacy decisions or Standard Contractual Clauses with appropriate safeguards.

5. Retention

We keep account and learning data for as long as your account exists and for a reasonable period afterwards to comply with legal, tax, and accounting obligations, resolve disputes, and enforce our agreements. We delete or anonymize personal data when it is no longer needed.

6. Your rights

Depending on your jurisdiction, you may have the right to:

access the personal data we hold about you;
request correction or deletion;
object to or restrict certain processing;
request data portability;
withdraw consent where processing is based on consent;
lodge a complaint with your local data protection authority.

7. Security

We use industry-standard technical and organisational measures — including encryption in transit, hashed passwords, row-level access controls, and least-privilege access — to protect personal data. No system is 100% secure, so please use a strong, unique password and keep your credentials safe.

8. Cookies

We use essential cookies to keep you signed in and to remember preferences, and limited analytics cookies to understand aggregate usage. You can manage cookies in your browser settings; disabling essential cookies may prevent parts of the Service from working.

9. Children

The Service is intended for users aged 16 and above. We do not knowingly collect personal data from children below that age. Contact us if you believe a child has provided us data.

10. Changes

We may update this notice. Material changes will be notified through the Service or by email.
